UPI has changed the way India pays. From a tea stall to a clothing store, customers now expect to scan a QR code and pay in seconds. For a small business, that is great news: no change problems, faster checkout and a clear record of every sale. But it also brings new risks, from fake payment screenshots to scam calls. Here is a simple guide to accepting UPI payments smoothly and safely.
1. Use a proper business QR code, not your personal one
Most payment apps (PhonePe, Paytm, Google Pay, BharatPe and your bank’s own app) offer a free merchant or business QR code. A business QR keeps shop money separate from personal transfers, shows your shop name to the customer, and makes accounting and GST records much easier. Print it clearly, laminate it, and place it where customers can scan it without reaching over the counter.
2. Get a sound box or instant payment alert
A payment speaker (sound box) announces every successful payment out loud, so you don’t have to check your phone during a rush. Many providers give one for a small monthly fee. If you don’t want one, at least turn on SMS and app notifications from your bank, and only trust alerts that come from your bank or payment app itself.
3. Never trust a screenshot
The most common shop fraud is a fake “payment successful” screen. Fraudsters show an edited screenshot or a payment page that looks complete but never went through. The rule is simple: a payment is received only when your own app, sound box or bank shows it. For big amounts, check your bank balance or transaction history before handing over the goods.
4. You never need a PIN to receive money
Receiving money through UPI never needs your UPI PIN. If someone sends you a “collect request” or asks you to enter your PIN “to receive a refund” or “to get the payment”, it is a scam. Decline the request and block the number. Teach this one rule to every staff member who handles payments.
5. Watch out for QR code tampering
Some fraudsters paste their own QR sticker over a shop’s code. Check your displayed QR every morning, and do a small test scan from time to time to confirm that your shop name appears. If you use a printed standee, keep it under a plastic cover that’s hard to peel.
6. Keep a daily payment summary
At closing time, match your UPI total from the app with your sales register. Most merchant apps give a daily or weekly settlement report you can download. This small habit catches mistakes and fraud early, and it gives you a clean record when you apply for a business loan, since many lenders now look at your UPI transaction history.
7. Handle refunds the right way
If a customer needs a refund, send it from the same app using the original transaction where possible, so there is a clear record. Never refund based only on a customer’s word that “the money got deducted”; check that the payment actually reached you first. Failed payments are usually reversed to the customer’s account automatically within a few days.
8. Protect your phone and app
- Use a screen lock and an app lock on your payment and banking apps.
- Never install “screen sharing” or remote-control apps because a caller asked you to.
- Don’t share OTPs, PINs or your registered SIM with anyone, including people claiming to be from the bank or the payment company.
- Keep your apps updated from the official Play Store or App Store only.
9. Know where to complain
If you are cheated, act fast. Call the national cyber crime helpline 1930 or report it at cybercrime.gov.in, and inform your bank immediately. The sooner you report, the better the chance of stopping the money.
